Job Description

The Project Administrator has a pivotal role supporting the Project Manager and wider project leadership team. The role is responsible for providing effective and efficient administrative support, maintaining accurate documentation, records, and reporting, and facilitating effective communication among team members. 

Key responsibilities include: 

  • Provide day-to-day administrative support to the project team
  • Manage data entry, document control, and digital/hard-copy filing
  • Coordinate purchasing, approvals, supply restocking, and service bookings
  • Organise project events, asset movements, and supplier interactions
  • Maintain accurate project records, site diary, and reporting (e.g. S-Chart, manhours)
  • Ensure availability and filing of forms (e.g. emissions, incidents)
  • Support internal communication by scheduling meetings and documenting discussions as required

Desired Skills and Experience

  • Proven experience in administrative support, ideally in a project-based environment
  • High school diploma or equivalent (administration training/certification desirable)
  • Proficient in Microsoft Office Suite and general office systems
  • Excellent organisational skills with strong attention to detail
  • Effective communicator with a proactive, team-oriented mindset
  • Adaptable, punctual, and able to manage multiple tasks and priorities
  • Approachable, personable, and process-focused 
  • Full NZ Driver’s License, class 1.
